Title:  Payroll & Benefits Specialist

Reports to:  Business Manager

Supervises:  N/A

Job Overview:  Effective utilization of advanced payroll processing skills in compiling, maintaining and processing payroll for the organization. Work detail varies according to department assignment and specific routines must be learned on the job through daily association.

Requirements:

  • Must meet the general requirements for employment at Westminster Academy
  • Experience in hands-on processing of payroll is highly desired
  • Proficiency with Paylocity payroll software is a significant plus
  • Experience in managing employee insurance benefits and billing
  • Kind, pleasant, effective communicator, willing to serve many
  • Organized and gifted at attention to detail
  • Flexible and willing to learn
  • Able to work independently
  • Basic knowledge of Microsoft Office (Word, Excel)
  • Basic knowledge of the laws, rules, and regulations associated with timekeeping and insurance benefit requirements is desired

Responsibilities and Duties:

  • Compile payroll for the entire school twice a month
  • Review timesheets and files for payroll processing
  • Calculate and process payroll changes for earnings and deductions
  • Communicate with school personnel and Paylocity concerning pay issues
  • Maintain personnel files and research earnings, as needed
  • Run, save, and distribute various payroll reports
  • Maintain payroll records, W-2’s and other documents related to payroll, and assist in the distribution of documents, as needed
  • Set up new employees in Paylocity and terminate outgoing employees, as needed, and process pay changes related to changes in employment
  • Assist employees with changes in their payroll profile, as needed
  • Verify employment and earnings of employees
  • Monitor employee time off and accruals
  • Calculate and monitor deductions for tax levies, garnishments, etc
  • Review and track insurance billing changes and process billings for payment
  • Communicate with school personnel concerning insurance enrollments throughout the year
  • Assist with the insurance enrollment for all new employees and insurance open enrollment annually.
  • Operate a computer and all standard business office machines.
  • Use effective positive interpersonal communication skills.
  • Provide outstanding customer service.
  • Make all decisions and perform all tasks in accordance with Westminster Academy’s organizational values.
  • Ensure compliance with applicable federal laws and regulations.
  • Perform other tasks or services consistent with the goal of this position.
